Here are sequence of answers for your questions
2.The modeled data can be extracted as (.tde) and doing this the performance will definitely be better.
3.The extract can be refreshed using the tableau server(tableau administration).Usually they are the one who schedules the refreshes.
You can also write a batch script and schedule in the windows job scheduler for your extracts to get refreshed automatically.
Thanks for your reply, but we don't have tableau administration server with us for scheduling refreshes.
Hence could you please elaborate more on how to write a batch script (what are the steps or set of commands) to refresh the data extract and how to schedule it using windows job scheduler.
