Customizing User Roles & Permissions in Tableau Server – Real-World Experience Needed

I am trying to understand how to effectively manage user roles and permissions in Tableau Server for a large organization. While I know about the default site roles (Administrator, Creator, Explorer, Viewer, etc.), I want to hear from those who have implemented custom permission strategies in real-time.
Key Questions:
Custom Permissions: Since we can’t create new site roles, how have you managed custom permissions for different user groups?
Large-Scale User Management: If you have 200-300 users, what’s the best way to control access? Do you use groups, projects, or folder-level restrictions?
Row-Level Security (RLS): How do you handle cases where users should only see certain divisions (e.g., Division A for User 1, Division B for User 2, but User 3 sees all)?
Tableau Server Licensing Impact: For a setup with different levels of access, how do you decide which users need Creator, Explorer, or Viewer licenses?
Real-World Challenges & Best Practices: What are some real challenges you faced while setting up permissions & access control? Any lessons learned?
I’d really appreciate real-world insights and not just documentation links. If you have experience managing permissions at scale, please share your thoughts!
Tableau Desktop repeatedly asks to reconnect to data source.
I have one user who intermittandly is being asked to reconnect to the data source in Tableau Desktop 2022.1.3. When they click yes, the same screen pops up again asking if they want to reconnect to the data source. They could press yes over and over for 10 minutes without it ever resolving.
If they click no they get the following message.
They can then save the desktop workbook, close and reopen it and connect with no issue.
Has anyone had experience with this? The data source is an extract, and others can use it with no issue. The user is on a VM that has the same image as all other Desktop users.
