          Hi Sailaja,

can you given an example what you are trying to do. As per my understanding am providing this info .Please go through it.

es this can be possible by using VizAlerts . You can do some rule based conditions this open source tool.

The great thing about this being a free and open source project VizAlerts uses Python and some Python modules and all  the necessary modules are all open source so we can validate the code if we want.  This tool does not have to run on the Tableau Server,  we can run this from another box if we want to . VizAlerts uses a domain whitelist for sending emails (so we can have only emails in our domain) but not a recipient@domain whitelist. Tableau Server is rendering the views that are delivered by VizAlerts, so we need to have the appropriate hardware resources for the extra load added by VizAlerts. Using this tool we can also control the   permissions of who can configure and run alerts (based on file permissions, publishing permissions, and configuring the SQL query that VizAlerts issues to identify what alerts to run) so if you want to lock alerts down to sending to few users .

One challenge is that currently in Tableau (as of v10.0) Subscriptions do not have permissions on them. So it's possible for users to see and choose Subscriptions that are not appropriate for them (or Subscriptions that you have disabled via other means)

This is a listing of some of the interesting alerts / email automation that can be achieved with VizAlerts. Below are some of the links from Tableau community:

Example: Alert when a Sales Target is achieved

Example: Subscriptions conditional on a successful Extract Refresh

Example: Notify the owner when someone comments on their view

          Notify owners of stale workbooks

Notify owners of content showing Tableau Sever Alerts

Example: Email users whose extracts fail to refresh

Below Table explains the differences Tableau's native subscriptions and conditional subscriptions functionality and VizAlerts.

              Hi Sailaja,

Without Tableau server it is really tough  to do this task.  Can you explain with an example in which case you want to give an alert.

If you want to do through tableau desktop you need to define some KPI and then create reference lines based on threshold values but his cannot be send as an alert.

Please explain your use case so that community can help you with some work arounds.

              Thanks,

              Tharashasank

I have a columns called number of violations and police station area.if the number of violations in any police station area reaches certain threshold ,then i need to send a dashboard image to email as per subscriptions. Please suggest

                Thanks

                  Hi Sailaja,

You need to have tableau server to do this functionality.

                  Thanks,

                  Tharashasank

Sailaja, are you using Tableau Online? If so, please check out Conditional Subscriptions, which is a feature introduced in 10.1, and should be available to you in Tableau Online. These can't run more often than daily, but if that's fine with you, it should do what you're wanting. Metric Insights is a Tableau partner who has built and maintains a third-party solution for alerting with Server and Online, so that's another route to go.

If you are not using Tableau Server or Tableau Online, you are in build-it-yourself territory. You'll need to figure out how to keep an always-on machine running Tableau Desktop and somehow script out a solution to export the data, then parse it for the condition you want to alert on. I don't really recommend that route.

Tharashasank Davuluru, thanks for the VizAlerts shout-out! Excellent summary of the features and differences. However, note that since v2 of VizAlerts, this statement is not true anymore:

VizAlerts uses a domain whitelist for sending emails (so we can have only emails in our domain) but not a recipient@domain whitelist

The new version does allow for flexible alert-level permissions on who the alert can send emails to. See VizAlerts 2.0.0 Released for a list of the new features. If you're still hacking the PostgreSQL query to enforce permissions, you should be very happy to use the new Config Workbook! If you decide to upgrade, make sure you upgrade to the latest version (2.0.1 as of this post), so you get all the bug fixes and documentation updates.
